AI Systems / Ops systems

Your best operator, running as software.

The work that lives in your team's heads gets mapped, automated and monitored. Running 24/7 without a human.

Sound familiar?

It only works properly when your best person does it.

The process exists. It is just held in people rather than written down, so it runs at whatever speed they can give it and stops entirely when they cannot.

One person is the process

Everything routes through them, and it grinds to a halt the week they are away.

Handoffs fall through

Work sits between two teams, and tasks get lost along the way.

Nobody can see where anything is

Different people and teams manage different parts of the process, and nobody keeps track of it as a whole.

What we build

The process written down, then made to run itself.

Process mapping

We sit with the people who actually do the work and write down what really happens, including the parts nobody documented.

Every step and workaround Optimised, not just automated

AI agents and workflows

The mechanical steps run on their own, and the calls that need reading rather than following go to an agent working inside rules you signed off.

Scoped to one job Humans keep the real calls

Exception handling

The interesting part. When something does not fit the happy path it gets caught, flagged and routed to a person, rather than failing quietly.

Nothing fails silently Escalates with full context

Audit trail and reporting

Every run logged, so where something is up to is a question with an answer rather than a round of asking.

01

Work triggered

From a form, an inbox, a system or an upload.

02

Routed

To the right person, team or system, with context.

04

Actioned

The mechanical steps run. Judgement calls escalate.

05

Logged

Recorded end to end, so the trail is there later.

Results

What our clients say.

Outbound engine

They built an outbound engine targeting care homes and the results came fast. We went from sporadic enquiries to a predictable pipeline, all running automatically in the background.

Ops automation

The manual work was slowing us down. They automated our core ops processes and the difference was immediate. My team stopped firefighting and started focusing on actual work.

Sales and ops build

We needed both a sales system and tighter ops. They delivered both in one build. It was live in under two weeks and we've not looked back.

How we work

Three steps, and we run it from there.

01

Free audit call

Thirty minutes on where the work breaks down. You leave with a written view of what to automate first.

02

The build

Scoped with you, then built and tested against live data before it runs on its own.

03

Run and expand

We keep the agents running, fix what tools break, and add the next system when the first one is returning.

Thirty minutes, in plain English. You leave with what we would automate first and the ROI case, whether you work with us or not.

Questions

Before you ask.

What if our process is a mess right now? +
That is the normal starting point and it is not a blocker. The mapping phase exists precisely because the real process is rarely the documented one. You get the map either way, and it is useful on its own.
Do we have to change tools? +
No. We build on what you already run. Swapping a team onto a new platform is a change project in its own right, and it is usually the reason automation attempts stall.
What happens when something goes wrong mid-run? +
It gets caught, logged and routed to a person with the full context attached. Silent failure is the thing we design against hardest, because an automation that fails quietly is worse than no automation.
Where does it run, and what happens to our data? +
It runs on infrastructure we maintain, which is the point: it does not become another thing your team has to keep alive. Everything it produces goes into your systems as it happens, so the contacts, the threads and the bookings sit in your CRM whether or not you are still working with us. If you would rather the whole thing ran on your own accounts, we build it that way on request.
How involved does our team need to be? +
A kickoff, a review, and a weekly check-in while we tune. After that the system runs, and your team spends its time on what it produces.
